Terms of service
Last updated 2 September 2026
These terms cover use of CampusOnline by a school and by the people that school gives accounts to. A school's signed agreement, where one exists, takes precedence over this page.
Accounts
- An account belongs to a school, and the school is responsible for who it gives access to
- Staff accounts are created by the school, not by us
- Credentials are not to be shared between people — a shared login makes an audit trail meaningless
- Tell us promptly if you believe an account has been compromised
The school's data
Data a school puts into CampusOnline remains the school's. We store and process it to run the service, as described in our privacy page. The school is responsible for the accuracy of what it enters and for having a lawful basis to hold information about students, guardians and staff.
What we provide
Access to the platform, updates as they are released, and support during working hours. We aim to keep the service available continuously but do not guarantee uninterrupted operation; maintenance, upstream provider faults and incidents outside our control all happen.
Fees and financial records
CampusOnline records the fee and accounting entries a school makes. It is a system of record, not an accountant: responsibility for what is charged, what is collected and what is reported to any authority rests with the school.
Messaging
A school sending messages through CampusOnline is responsible for their content and for having the recipient's consent where required. Messages sent through the Android gateway app go out on the school's own SIM, under the school's own arrangement with its mobile operator, and are subject to that operator's terms.
Acceptable use
- Do not use the service to send unlawful, harassing or misleading messages
- Do not attempt to reach another school's data
- Do not probe, scan or load-test the service without written permission
- Do not resell access without an agreement with us
Suspension
We may suspend an account for non-payment or for a serious breach of these terms. Suspension does not delete the school's data, and access is restored when the cause is resolved.
Ending the agreement
A school may stop using CampusOnline at any time and ask for an export of its data. On closure, data is retained briefly so an account closed in error can be restored, then removed.
Liability
Nothing here excludes liability that cannot lawfully be excluded. Otherwise our liability is limited to the fees paid for the service in the twelve months before the claim.
Changes
We may update these terms. Material changes will be notified to the school's registered contact before they take effect.
